OnPay review: features

OnPay offers only one plan, and the same features are available to all users. There are no hidden fees and no additional features. Here are the key offerings OnPay offers under its flat-fee plan:

Full-service payroll

OnPay’s cloud-based platform makes it easy to run payroll from any device. Businesses can take advantage of multi-state payroll and pay up to 100 employees or contractors in all 50 states. There’s also no limit on the number of payrolls users can run in a month, plus there are flexible pay rates and schedules.

Companies can make payments via direct deposit, check, or debit card. They can choose between a two-day or four-day direct deposit. If you’re regularly paying contractors for projects, you can opt for the pay-as-you-go workers’ comp plans.

After OnPay’s system processes payrolls, all that’s needed from the business side is to review and approve them.

Benefits

OnPay provides access to a variety of benefits from major providers, and benefits administration is accessible in all 50 states. Companies also receive assistance in choosing the right benefits plans for their employees.

HR tools

OnPay also offers a full set of customizable HR tools in its flat-fee plan. These tools automate manual onboarding tasks for your HR team, manage PTO, and organize employee documentation.

Automated taxes and compliance

OnPay takes care of calculating and filing your state, federal, and local taxes for compliance. It also files Form 941 quarterly and Form 940 at the end of the year. In case of extra fees for errors, OnPay is also responsible for them. In addition, OnPay reports all new hires to the state on your business’s behalf.

Employee self-service

Employee self-service features allow your employees to perform some tasks themselves, such as onboarding, submitting HR paperwork, accessing their pay stubs, requesting time off, downloading tax forms, and more.

OnPay also prepares W-2 and 1099 forms, which employees can access on the self-service portal. The forms are free, but printing and mailing them to your employees may cost you an additional fee. One of OnPay’s best features is lifetime access, which enables employees to continue using the platform to access their W-2s for tax purposes even when they no longer work at the same company.

Custom payroll reporting

OnPay offers built-in and customizable payroll reports to track important data points. The pre-set reports enable filtering and modifications for businesses to track payroll, benefits-related expenses, earnings summaries, worker’s comp listings, employee summaries, PP loan forgiveness, and more.

If you want customized reports, the custom report builder enables you to add and remove over 50 data points, set up filters, change date ranges, and even edit who can view the report. All reports are available for viewing on the OnPay platform and can be exported as PDF, CSF, or Excel files.

OnPay review: Software integrations

OnPay’s software integrations make up for some of the key services not offered on its platform. We found many integrations for time tracking, accounting, compliance, and more. Here are a few of the most popular integrations:

  • QuickBooks Online
  • QuickBooks Desktop
  • Xero
  • QuickBooks Time (previously TSheets)
  • Deputy
  • When I Work
  • Mineral (previously Think HR)
  • PosterElite

OnPay review: Customer support

You can access OnPay customer support via email, phone, and chat at certain times. Email support is available throughout the week and on weekends, whereas phone and chat support are only accessible from Monday to Friday, 9 am to 8 pm Eastern time.

If you’re facing a complex issue with the platform, you can submit a support ticket and wait for assistance. OnPay also has a help center with useful guides that address commonly asked questions and troubleshooting concerns.

Apart from general support, OnPay’s customer service team will walk you through the complete setup and integration process. This is a helpful feature for businesses migrating from another payroll platform.

OnPay review: Verdict

Overall, OnPay is one of the best payroll software services for SMBs and startups. It is especially useful (and cost-effective) for businesses running frequent and routine payroll processes for employees and contractors. It is affordable, provides streamlined usability, and also comes with a mobile app.

We like that OnPay doesn’t confuse users with multiple plans and only has a single package with all of its features. Payroll and benefits, including HR tools, are the standard with most providers. But with OnPay, you also get accounting management, employee self-service tools, and more.
